National Fatherhood Initiative® is a non-profit organization. Its mission is to increase the involvement of fathers in their families’ lives  by equipping communities and human service organizations with the engagement training, programs, and resources they need to be father-inclusive. 

The Problem

  • Subscription tracking via hundreds of Google Sheets caused inefficiencies and avoidable mistakes for the National Fatherhood Initiative®.
  • Manual processes hindered subscription management, leading to errors, especially in distinguishing between renewed and new subscriptions and identifying cancellations.
  • Lack of automated tools led to difficulties in monitoring and managing bulk subscriptions, particularly for state agency customers.

The Solution

  • Integration of diverse event hosting platforms with HubSpot streamlined data consolidation, allowing seamless capture and synchronization of event information.
  • Employing Zapier as middleware facilitated the unification of orders from Eventbrite and Thinkific into HubSpot, centralizing products and transactions for streamlined management.
  • A comprehensive overhaul of the product library involved refining data by removing redundant products, incorporating essential fields, and making necessary adjustments to enhance data accuracy.
  • Implementation of robust reporting capabilities within HubSpot empowered the National Fatherhood Initiative to efficiently track revenue and monitor deals across all event hosting platforms from a single, consolidated interface.

The Outcome

As a result of Aptitude 8’s efforts, The National Fatherhood Initiative® now has better tracking across its member lists and product portfolio, as well as a better overall user experience. The nonprofit now has a fully functional subscription tracking system. Most importantly, National Fatherhood Initiative® has a much more holistic view of their active, inactive, lost, and upcoming subscriptions.

All their sales reports and figures are pushed into HubSpot for a complete view on a single platform. This significantly cuts down the organization's administration times when creating monthly and quarterly reports, as the team doesn't have to pull from three different systems.
